1) Administrative Planning and Approval of Meetings (10 mins)
Discuss for upcoming meetings:
• November 4, 2023 (Saturday) – Meeting called by DG Manjoo for
Conference discussion., at Damle Hall
• November 5, 2023 (Sunday) – Service project and fun activities
➢ Breakfast for inmates of Matoshri Vrudhashram. Cost approx. Rs.
3000/-
. Money will be given from Sunshine box. If any shortfall,
President or any other members will donate.

• November 5, 2023 (Sunday) -Annadan and Arogya Shibir for LGBTQ
and sex workers – Our Club is Co-Host for this Project.

• November 23, 2023 – AG meeting/Joint meeting with Speaker

3) Service Projects Planning and Approval of Budget (10 minutes)
• Review and approve the budget for service projects:
• Asmita Project – Proposed as beneficiaries, students of Maharshi Karve
College and SNDT College – Rtn Anita and Rtn Alkatai working on it- to
give update
• Progress update on Dhaga Project – 4 machines given
• Progress on application received from Velhe for New Borwell.
• Aerators-progress
• Bahuli School has donated Rs. 20,000/- to our Trust.
• DEI project approved- and Rs. 5,000/- given for the same.
• Cheque of Rs. 10,000/- given for opening account for Global Grant, has
been received back.
4) Medical Projects Planning & Approval of Budget (10 minutes)
• Discuss and approve the budget for medical projects:
• Plan for BMD and Eye Camp in Velhe- Budget of ₹ 22,000 approved.
• Plan for forming RCC (Rotary Community Corps) in Velhe.
• Talk on Nutrition for Velhe Farmers by FL Rtn Ketki Falak.
• Any other projects suggested by Medical Director and Co-Director
• As decided in last BOD, the CSR received for Anganwadis, be used for the Gift
of Life Project. The same has been approved by Literacy Director also. It can
be a Global Grant Project, and the shortfall of Rs. 3 lacs for Club contribution,
will be arranged by Rtn. Vikas.
5) Literacy Project Planning & Approval of Budget (10 mins)
• Literacy Director, Rtn Mamata Kolhatkar, to inform and discuss any projects to
be taken this month
6) New Generation Initiatives (5 mins)
• New Generation Director, Rtn Rupa Pingale, to inform and discuss any projects
to be taken this month
7) Conference Discussion (5 mins)
• Conference Chairman to appeal to all members to pay ₹11,500 in Cash or in
Club Account asap.
8) P I Activities (5 mins)
• PI Director, Rtn Prachi Andre, to inform of club PI activities done so far.

MINUTES OF BOD MEETING HELD ON November 3, 2023, at
7.00 pm at Hotel ShangriLa, Erandwane

Opening and Welcome: The meeting commenced at 7:00 pm, with President Dr.
Umesh D. Falak welcoming all the present board members.
1) Administrative Planning and Approval of Meetings

Review and approve the budget for service projects:
• Asmita Project –

• 15 m of cloth given by Anita to each of the 4 beneficiaries, to
stitch bags and to be given to vegetable vendors.
• Sarees to be collected for making bags
• Progress on application received from Velhe for New Borwell-
• It was suggested that a survey be conducted for the viability of
the borewell. Rtn Vikas to help in getting CSR for the project.
• Bahuli School has donated Rs. 20,000/- to our Trust.
• DEI project approved- and Rs. 5,000/- given for the same. They need 5
female volunteers.
• Cheque of Rs. 10,000/- given for opening account for Global Grant, has
been received back.
• Aerators – Cheque of Rs. 12,500- for 250 aerators will be given.

• Discuss and approve the budget for medical projects:
• Plan for BMD and Eye Camp in Velhe- Budget of ₹ 22,000 approved.
• Plan for forming RCC (Rotary Community Corps) in Velhe. Need to plan
projects for the next 3 years. Guidelines to be given by Shirish.
• Talk on Nutrition for Velhe Farmers by FL Rtn Ketki Falak.
• As decided in last BOD, the CSR received for Anganwadis, be used for the Gift
of Life Project. The same has been approved by Literacy Director also. The
shortfall of Rs. 3 lacs for Club contribution, will be arranged by Rtn. Vikas.
• Resolution for using the money for Gift of Life has to be made dated 30-9-
2023.
• Consent letter has to be taken by Donor also.
• Global Grant for the same is already in progress.
4) Literacy Project Planning & Approval of Budget
• 3/12/2023 is World Disabled Day. District has proposed a project for the same,
and clubs joining is at the cost of Rs. 15,000 per club.
• Beneficiaries – 300
• Teachers – 100
• Project approved by BOD
5) New Generation Initiatives
• Rotaract Club of Deccan Gymkhana to organise a program at Ghar, an
orphanage on 4-11-2023
6) Foundation Discussion
• President appealed to all to register for the Foundation Seminar to be held on
25-11-2023.
8) Conference Discussion
• ₹11,500 to be paid by all members in Cash or in Club Account asap.

discussion., at Damle Hall at 7 pm
10) Status of Signatory for Trusts and club in bank changes to be done asap.

• Internet banking started for Club account.
11) PI Activity
• Press Conference of NGSE held
• PI Director, Prachi, explained the details of the project
12) AG Assembly
• All Directors to keep ready PPT for the Assembly. Template for the same will
be given by president
13) RYLA
• RYLA is planned with Poona North Club
14) Membership
• Fees of following members still not received for the year 23-24.
o Nitin Deshpande – to pay after Diwali
o Atul Joglekar – will transfer shortly to our bank account
o Kaushal – President will speak to him
o Sushmita Padale – Name to be removed-already paid by Club for the
first half
o Prachi Andre- Membership Director to follow
o Amit Andre- Membership Director to follow
o Ashwini – half payment received, promised to pay balance after Diwali
• Decided that Names of Members to be removed by end of month (before
next Invoice) to avoid further loss to Club.
